Safeguarding Policy

1. Policy Statement
The welfare of every participant is our highest priority. Vocal Excellence is committed to creating a safe, respectful and supportive environment for everyone taking part, including children from the age of six, across all four of its activities in Limassol, Cyprus: the School, the Summer Workshop, the Choir and the Masterclass Series.
2. Scope of Responsibility
This policy applies to all staff, faculty, volunteers, contractors and guests involved in delivering any Vocal Excellence activity, and to everything held on or off our premises. The full policy, including the named Designated Safeguarding Lead and Deputy and every reporting route, is on the page itself.
3. Designated Safeguarding Lead
A Designated Safeguarding Lead oversees safeguarding arrangements and is the first point of contact for any welfare concern. Concerns can be raised at any time during the programme.
4. Reporting Safeguarding Concerns
Anyone with a safeguarding concern should report it immediately to the Designated Safeguarding Lead or any member of staff. Concerns are taken seriously, recorded, and acted upon promptly.

5. Staff Vetting and Safer Recruitment
Staff and faculty are recruited following safer-recruitment principles, including identity verification, references, and suitability checks appropriate to their role and contact with minors.
6. Supervision of Minors
Participants under 18 are supervised by appropriate adults during programme activities. Staff maintain professional boundaries at all times and follow a clear code of conduct.
7. Photography, Filming, and Recordings
Professional video recordings and photography take place only where consent has been provided. Recordings are stored securely and used in line with our Privacy Policy.
8. Medical Information and Emergencies
Participants and guardians must disclose relevant medical, dietary, and accessibility needs before the programme begins so that appropriate arrangements and emergency procedures can be in place.
9. Records, Data Protection, and Review
Safeguarding records are handled confidentially and in compliance with GDPR. This policy is reviewed regularly and updated as needed.
